Office Administrator


To provide both clerical and administrative support to professionals, either as part of a team or individually and to co-ordinate and implement office procedures. The role plays a vital part in the administration and smooth-running of the company.

  • Reception & Telephone duties.
  • Translation of documents from Russian to English and vise versa.
  • General Secretarial duties (send faxes, typing letters). Arrange for courier and mail services when needed.
  • Responsible for all stationery & grocery orders.
  • Handling of the company Petty Cash.
  • General Bookkeeping (Incoming invoices, payments).
  • Arrange all traveling arrangements for members of staff when required.  Make airline and hotel reservations through travel agent, inform travelers of itinerary or problems, ensure receipt of tickets from travel agent, keep track of who is where when traveling.
  • Responsible for all office visitors, arrange hotels, taxis, lunches, inform appropriate managers of staff, co-ordinate itinerary of visitor if required and schedule meetings with managers or staff.
  • Ensure that all photocopiers, printers, coffee machines, office lighting, air- conditions/heaters are in good running order.
  • Handle all issues relating to the Labor and Immigration authorities of Russia, ensuring that work permits, visas etc. are processed in time and in accordance with the at the time procedures of the authorities
  • Responsible for the Medical Plan in coordination with the HR department.
  • Keep records of daily attendance.
  • Publish records of employees’ leave dates and file contact information of people on remote assignments.
  • Make arrangements for company events, such as seminars and conferences.
  • Ensure that cleaning of office is done at the regular predetermined times.


  • College Degree will be considered an advantage.
  • Fluent in Russian and English languages
  • Highly capable of typing, and proficient in spelling and punctuation
  • Excellent communication and writing skills
  • Excellent organization skills
  • Good customer service and interpersonal skills
  • Computer literate. Good knowledge of Word, Excel, Outlook is required.
  • Previous relevant experience will be considered an advantage
